Production Checklist for Film Crews and Stagehands: Print and Safety

Sketch title card with production safety tools

A production checklist is a written, role-assigned task list that walks a project from pre-production through wrap, and using one gets you an organized shoot, fewer avoidable risks, and a cleaner handoff to post. This guide covers the core areas: pre-production, paperwork and legal forms, safety and risk assessment, equipment and technical checks, shoot day operations, and post-production debrief.

TL;DR:

Assign one named owner and deadline to every checklist item; small crews can combine roles, but each task still needs a clear sign off.

Written risk records may be legally required when a production employs five or more people, but smaller crews should document controls too.

Department heads should sign off before the first shot; verify media with checksums and keep backups in two separate locations before reusing cards.

Collect insurance certificates, signed releases, contracts, and contractor tax forms as payments occur, then match invoices against records instead of rebuilding files at wrap.

At wrap, record what was shot, delays, overtime, and incidents, then debrief while details are fresh and update the checklist before the next production.

What’s in a Production Checklist: A Shortlist and Task Owners

Before you build a full checklist, it helps to know the groups that matter and who owns each one. Most productions, whether a two-person micro-shoot or a multi-week feature, break down the same way.

Pre-production planning: locks the script, budget, and schedule; usually owned by the producer or line producer.
Paperwork and legal forms: contracts, releases, and insurance; typically tracked by the production coordinator or UPM.
Safety and risk assessment: documents hazards and controls; led by a safety supervisor or the producer when no dedicated safety role exists.
Equipment and technical checks: camera, sound, lighting, and data backup; owned by each department head.
Shoot day operations: call sheets, briefings, and timing; run by the stage manager or first assistant director.
Post-production handoff: file delivery, invoicing, and debrief; shared between the editor, producer, and production coordinator.

For a micro-shoot with a small crew, one person might wear several of these hats, and that’s fine as long as every item still gets checked by someone. On a multi-day feature, each group typically gets its own point person and its own sub-checklist, because the volume of paperwork and technical detail grows fast once you add departments, locations, or hazardous elements like stunts and drones.

Pre-Production Checklist: What to Confirm Before Call Sheets Go Out

Call sheets only work when the groundwork behind them is solid. Run through this sequence before you schedule a single shoot day.

Lock the script and flag story-critical elements, stunts, specialty props, animals, or minors, that will need extra planning.
Finalize the budget, including a contingency line, and identify who signs off on overages.
Hire key crew (department heads first) and collect proof of relevant training or competency, especially for technical or safety-critical roles.
Build the master schedule, locking recce dates, tech rehearsals, and key shoot days.
Scout and clear locations, confirming permits, parking, power access, and noise restrictions.
Book talent and confirm availability, fittings, and signed agreements.
Assign an owner and a deadline to every item above so nothing drifts without accountability.

A few of these deserve more detail. Script lock matters because every downstream decision, budget, schedule, crew size, equipment list, depends on knowing what you’re actually shooting. A script that keeps changing after the budget is set is the single most common source of over-schedule days.

Budget sign-off points are worth naming explicitly. Decide in advance who can approve a spend over a set threshold, whether that’s the producer, a line producer, or a financier’s representative, so a department head doesn’t have to track someone down mid-shoot.

Crew vetting goes beyond resumes; arranging competent first aid training and fit testing services especially for technical or safety-critical roles ensures documented evidence of training, not just a verbal assurance. For technical or safety-adjacent roles, rigging, pyrotechnics, drone operation, you want documented evidence of training, not just a verbal assurance. This matters later when you’re building your safety and risk assessment file, since the HSE’s guidance for audio-visual production specifically calls out using only competent staff as a producer duty.

Location clearance is frequently underestimated. Beyond the permit itself, confirm power access, insurance requirements tied to the venue, and any noise or hour restrictions that could affect your schedule. A production requirements checklist used in academic and independent productions lists approved script and budget approval forms as standard paperwork to track at this stage, which is a useful model even for commercial shoots.

Pro Tip: Build your pre-production checklist as a shared document with a deadline column, not just a task list, so delays show up before they become emergencies.

Production Paperwork and Legal Forms to Collect and File

Paperwork problems rarely show up during pre-production. They show up weeks later, when a vendor hasn’t been paid, an insurance claim gets denied, or a release can’t be found. Track these from day one.

Insurance certificates and policy numbers, collected and verified before the first shoot day, not after.
Crew and freelancer contracts, including vendor and equipment rental agreements with clear payment terms.
Talent, location, and photo or model releases, filed with clearance documentation for anything appearing on camera.
Tax and payment forms, including 1099 forms for U.S. contractor payments, matched against invoice records as they’re paid.
Call sheet distribution records and a centralized contact list covering every department.
A consistent filing structure with version control, so the current signed contract is never confused with an earlier draft.

The insurance piece is worth isolating because it’s the one document that protects the whole production if something goes wrong. Confirm coverage dates, named locations, and any activity-specific riders (stunts, drones, water work) line up with what you’re actually shooting, not a generic policy.

Tax paperwork trips up a lot of independent productions that pay freelance crew directly. In the United States, 1099-NEC and 1099-MISC forms apply to qualifying contractor payments, and the records need to be collected as you go rather than reconstructed at tax time. If you’re the one receiving those payments as a freelancer, our guide on getting paid as a freelance stagehand walks through the forms and timing from the crew side.

A simple filing structure, one folder per department with dated subfolders for contracts, releases, and invoices, saves hours during wrap, when everyone is trying to close out paperwork at once.

Safety and Risk Assessment Checklist for Hazardous Activities

Any activity involving stunts, special effects, work at height, or drone operation needs a documented, written risk assessment, not a verbal plan. The HSE’s guidance for audio-visual production outlines a five-step process: identify hazards, decide who might be harmed and how, evaluate the risk and decide on precautions, record the findings, and review the assessment after any change to the plan.

Stunts, fights, and similarly hazardous activities require a competent stunt coordinator and documented controls, not improvisation on the day.
Work at height, rigging, and SFX need engineering controls (barriers, fall-arrest systems) before relying on PPE as a last resort.
Drone operations require their own assessment covering airspace, line of sight, and proximity to cast and crew.
High-risk script elements (weapons, pyrotechnics, water work) should trigger a written safety report before the shoot day, not during it.
Toolbox talks with the crew before hazardous sequences keep everyone aligned on the day’s specific controls.

Guidance on stunts and hazardous production activities frames the producer’s responsibility clearly: risks from stunts and fights must be assessed and controlled the same way as any other production risk, working through elimination or substitution first, then engineering controls, then administrative controls, with PPE as the last line of defense. That same guidance stresses involving a competent stunt coordinator and rehearsing hazardous sequences before they’re shot for real.

Recording matters even when you’re a small crew. The legal requirement to document findings often applies once you employ five or more people, but smaller productions are still well advised to record their assessments, since a written record is what demonstrates due diligence if something goes wrong. National guidelines for screen safety reinforce this with a detailed set of pre-production safety forms, including location hazard assessments and induction acknowledgements, that productions of any size can adapt.

Decide early who leads this process, a dedicated safety supervisor on larger productions, or the producer directly on smaller ones, and build in a review point any time the script, location, or schedule changes.

Pro Tip: Keep every risk assessment and toolbox talk record in the same folder as your call sheets so reviewers can match the paperwork to the day it covers.

Equipment and Technical Checklist: Camera, Sound, Lighting, Rigging, Power, and Backups

Technical failures on shoot day are almost always preventable with a checklist run the night before, not the morning of. Each department head should sign off on their own section.

Camera: bodies, lenses, media cards, charged batteries, and a written reference for LUTs and camera settings.
Sound: recorders, microphones, cables, a backup recorder, and a test recording reviewed before the first take.
Lighting: fixtures, gels, cabling, dimmers, and a power load plan that matches the location’s actual circuits.
Rigging: current inspection records, certifications for load-bearing hardware, and spare parts on hand.
Power and distribution: generator fuel and run time, cable run lengths, and ground-fault protection on every outdoor or wet-location circuit.
Data management: on-set ingest with checksum verification, backups in two separate locations, and a consistent file naming convention from the first card to the last.

The data management step is the one most likely to get rushed, and it’s the one with the least room for error. A dropped card with no backup can erase a full day’s work, while a checksum pass after ingest helps confirm the files are intact before anyone wipes a card. If lighting is new territory for your crew, our beginner’s guide to live event lighting covers the basics of fixtures, power, and safe cabling that this checklist assumes.

Each department head should give a verbal or written sign-off before the first shot of the day, confirming their section is complete. That sign-off is what the stage manager checks against before calling “rolling.”

Shooting Day and Stage Manager Checklist: The On-Day Sequence

Shoot day runs on timing and visibility, and the stage manager or first AD is the one person tracking both across every department at once. This sequence repeats, with small variations, on every production day.

Walk the site before the crew arrives, sweeping for hazards and confirming medic and emergency contact information is posted and current.
Brief the crew on the day’s schedule, hazard zones, and any exclusion areas tied to stunts, vehicles, or equipment.
Distribute the call sheet and keep a live, accessible contact roster for every department.
Run a technical and blocking rehearsal, then a full camera rehearsal before rolling for real.
Track the schedule and meal breaks, logging any overtime as it happens rather than reconstructing it later.
Log issues as they arise, noting immediate fixes and who signed off on them.
Secure equipment and complete an inventory at wrap, then file the daily production report before leaving.

An Injury and Illness Prevention Program built for TV and feature production recommends recurring safety toolbox talks to keep hazard awareness current across a long shoot rather than treating safety briefing as a one-time event at the start.

The exclusion-zone piece deserves its own emphasis. On any day involving vehicles, rigging, or practical effects, mark the zone physically, with tape, cones, or a crew member posted at the line, and brief everyone on what it means before the first rehearsal, not after someone wanders into frame.

Tape and cones mark a stage rigging exclusion zone

If you’re new to this role or new to a crew, our guide on preparing for your first stagehand call covers the practical side of showing up ready, which pairs well with the stage manager’s own checklist above.

The daily production report closes the loop. It should capture what was shot, what wasn’t, why, and any overtime or incident notes, because that report is what the next day’s call sheet and the eventual post-production debrief both depend on.

Post-Production Handoff and Event Debrief Checklist

Wrap day isn’t the end of the checklist, it’s the point where the paperwork and footage both need to land somewhere safe and get reviewed honestly.

Ingest all media, verify checksums, and store backups in two physically separate locations before anyone reuses a card.
Confirm deliverable specs, file formats, naming conventions, and metadata, against what the client or distributor actually requires.
Route final cuts through an approval workflow before calling anything locked.
Finalize invoices and contractor payments, matching them against the tax forms collected during pre-production.
Run a structured debrief before the team disperses, while details are still fresh.

That debrief is where lessons actually turn into process improvements, and it works best with a consistent structure. Event debrief guidance recommends framing goals in SMART terms and working through eight core questions: restating goals, reviewing metrics, evaluating tactics, naming what worked and what didn’t, gathering participant feedback, listing challenges, and producing concrete action items.

Skip the debrief and you’ll likely repeat the same scheduling mistake or paperwork gap on the next job. Run it, even informally, and update your master checklist with whatever you learned before you move on to the next production.

Checklist Templates, Printable Packs, and Adapting Them to Your Shoot

A checklist only earns its keep if it’s easy to print, fill out, and hand to someone new. A few format choices make that easier.

Single-page shoot-day checklist, printable and designed for a clipboard, not a scroll.
Multi-page pre-production checklist, covering budget, schedule, and crew sign-offs across a longer planning window.
A dedicated safety or risk-assessment form, structured around the five-step process and kept separate from general production paperwork.
A debrief template, built around the eight-question structure, ready to fill out the same day as wrap.

For file formats, PDF works best for anything you’ll print and hand out on set, while CSV or JSON versions are worth keeping if you plan to import task lists into scheduling or project tools. Whatever format you choose, version control matters: label each update with a date, and retire the old copy so crew aren’t working from two different versions of the same call sheet template. Store the master versions somewhere the whole team can reach, not just on one person’s laptop, so a checklist update actually reaches everyone before the next call time.

Why Checklists Actually Change What Happens on Set

Checklists get dismissed as paperwork for people who don’t trust their own memory, and that’s backward. The real failure mode on most productions isn’t forgetting something, it’s assuming someone else already handled it. A checklist with a named owner on every line removes that assumption entirely, and that’s where the actual value sits, not in the list itself but in the accountability it forces.

The productions that run smoothest aren’t the ones with the longest checklists. They’re the ones where load-in starts on time because the gear list was confirmed the night before, where a dropped card doesn’t cost a day’s footage because someone actually backed it up to two locations, and where a stunt sequence goes off without incident because the coordinator’s controls were documented and reviewed, not assumed.

Start with a short checklist you’ll actually use, not the most comprehensive one you can find. Assign one owner per section, even on a small crew, and update it after every production based on what broke. That iteration is what turns a generic template into a document that fits how your crew actually works.

FAQ

What should be included in a basic production checklist?

A basic production checklist covers pre-production tasks (script lock, budget, schedule), paperwork (contracts, releases, insurance), safety documentation for any hazardous work, equipment checks by department, a shoot-day sequence, and a post-production debrief. Smaller productions can combine these into a single document, while larger ones typically split each area into its own checklist.

Who is responsible for safety on a film or video set?

The producer holds overall legal responsibility for assessing and controlling workplace risks, according to HSE guidance for audio-visual production, though a dedicated safety supervisor or stunt coordinator typically leads hazard-specific assessments for activities like stunts or work at height. Toolbox talks and written risk assessments should be documented and reviewed whenever the plan changes.

How do I organize production paperwork like contracts and tax forms?

Keep a consistent folder structure with one section per department, dated subfolders for contracts and releases, and a separate tracker for invoices matched against tax forms like 1099s for U.S. contractor payments. Collecting these as you go, rather than reconstructing them at wrap, avoids payment delays and missing signatures.

What does a stage manager check before and during a shoot day?

A stage manager typically walks the site for hazards before the crew arrives, briefs everyone on the schedule and any exclusion zones, distributes the call sheet, and runs technical and camera rehearsals before the first take. Throughout the day, they track timing, log issues as they happen, and file a daily production report at wrap.
